Apostille Global Services ("we", "us") provides private apostille support. This policy explains what information we collect and how we use it.
Information We Collect
We collect information you provide when you request a document review, start a packet, or contact us — including name, email, phone, mailing address, and the documents and destination country related to your order.
Uploaded Document Scans
When you upload a scan or photo of your document (for example, for the $10 Automated Pre-Check, the $40 Human Specialist Review, or Full Service), that scan is used only to perform the review or service you purchased. Specifically:
- Never sold. We do not sell, rent, or license uploaded documents to any third party.
- Never used for marketing. We do not use uploaded documents to build advertising audiences, market to you, or train third-party AI models on identifiable content.
- Shared only to complete your order. Scans are shared only with the service providers required to complete your order (notaries, translators, couriers) and with government agencies as part of the apostille or authentication process itself.
- Retention. Uploaded scans are retained for 60 days after order completion (to support audit, re-submission, and dispute resolution) and are then deleted from our active systems. Backup copies may persist in encrypted backups for up to an additional 30 days before overwrite.
- Deletion on request. You may request earlier deletion of uploaded scans at any time by emailing us at the address below. We will confirm deletion within 10 business days, subject to any legal obligation to retain records for tax or fraud-prevention purposes.
How We Use Information
We use your information solely to prepare, review, and ship your apostille packet, to communicate with you about your order, and to comply with legal obligations.
Sharing
We do not sell your information. We share it only with service providers required to complete your order (couriers, notaries, translators, payment processors) and with government agencies (such as the California Secretary of State or U.S. Department of State) as part of the apostille process itself.
Retention
We retain order records for as long as needed to service your order and to meet legal and accounting requirements. Uploaded document scans follow the shorter retention schedule described above. You may request deletion of your account data by emailing us.
Security
We use industry-standard measures to protect your information in transit and at rest. No transmission over the internet is ever fully secure; you provide information at your own risk.
